1. ABOUT THESE TERMS
These Travel Booking & Supplier Terms explain the relationship between Soléa Travels Co. (“Soléa”, “we”, “us” or “our”), our host agency Fora Travel, and the third-party suppliers that provide travel services.
They should be read together with:
our Terms & Conditions;
our Client Travel Agreement;
the applicable supplier's booking terms; and
any booking confirmation, invoice or other travel documentation provided to you.
The terms applicable to a particular booking will depend on the travel service purchased and the party responsible for providing or organising that service.
2. FORA TRAVEL
Soléa operates as an independent travel advisory business through its relationship with Fora Travel, our host travel agency.
Fora Travel provides access to travel suppliers, booking infrastructure and industry programmes.
Where a booking is made through Fora Travel or its booking systems, the booking may be subject to Fora Travel's applicable terms and policies.
Those terms may apply in addition to Soléa's own terms.
3. THIRD-PARTY TRAVEL SUPPLIERS
Travel services are provided by independent suppliers.
These may include:
airlines;
hotels;
resorts;
villas;
cruise operators;
tour operators;
rail providers;
car rental companies;
transfer providers;
restaurants;
experience providers;
destination management companies; and
other travel businesses.
Each supplier may have its own contractual terms.
These may include provisions relating to:
payment;
deposits;
cancellation;
refunds;
amendments;
check-in;
baggage;
health and safety;
liability;
travel documentation;
conditions of carriage; and
other requirements.
You should review the applicable supplier terms before confirming your booking.
4. WHO IS YOUR CONTRACT WITH?
The contracting party for your travel arrangement depends on the nature of the booking.
In many circumstances, the contract for an individual travel service will be between you and the relevant supplier.
Where a package is provided by another organiser, the contract may instead be with that organiser.
Where applicable, your booking documentation will identify the relevant supplier or organiser.
Soléa will not represent itself as the provider or organiser of a travel service where we are acting solely as an agent or adviser.
5. BOOKING CONFIRMATION
A quotation, recommendation, itinerary or proposal does not necessarily constitute a confirmed booking.
Your booking is generally confirmed when:
the relevant supplier or booking system accepts the reservation;
the required payment or deposit has been received; and
confirmation documentation has been issued.
You should retain your booking confirmation and review it carefully.
6. PRICES
Travel prices are subject to availability and may change before confirmation.
A quoted price may change due to:
availability;
supplier pricing;
currency fluctuations;
taxes;
fees;
room or cabin inventory;
fare availability; or
other supplier conditions.
Once a booking has been confirmed, the applicable supplier terms will determine whether and how the price may subsequently change.
7. PAYMENT
Payment requirements are determined by the applicable supplier and/or booking arrangement.
You may be required to pay:
a deposit;
the full booking amount;
staged payments;
taxes or fees; or
other applicable charges.
Payment deadlines must be met to preserve the booking.
Failure to make payment by the applicable deadline may result in cancellation of the booking or loss of availability.
Soléa is not responsible for losses resulting from a missed supplier payment deadline where the relevant payment information and deadline were communicated to you.
8. CANCELLATION AND REFUNDS
Cancellation rights vary significantly between travel suppliers.
Some travel arrangements may be:
fully refundable;
partially refundable;
refundable subject to a fee;
credit-only; or
completely non-refundable.
The applicable supplier's cancellation terms will determine the refund available for that booking, subject to any rights provided by law.
If you ask Soléa to cancel a booking, we will communicate the request to the relevant supplier where appropriate.
Submitting a cancellation request does not itself guarantee a refund.
9. AMENDMENTS AND REBOOKING
Requests to change travel arrangements are subject to supplier availability and applicable terms.
An amendment may result in:
an amendment fee;
a fare difference;
a change in taxes or fees;
loss of promotional pricing; or
other supplier charges.
We will communicate with the relevant supplier where appropriate but cannot guarantee that a requested amendment will be possible.
10. AIR TRAVEL
Airline bookings are subject to the applicable airline's conditions of carriage, fare rules and booking conditions.
Airlines may impose their own rules concerning:
baggage;
check-in;
seat selection;
changes;
cancellations;
delays;
missed flights;
denied boarding; and
schedule changes.
Travellers should review the applicable airline documentation carefully.
11. HOTELS AND ACCOMMODATION
Hotel and accommodation bookings are subject to the individual property's booking terms.
The property may impose requirements relating to:
check-in and check-out;
identification;
deposits;
incidental charges;
resort or destination fees;
cancellation;
minimum stays;
occupancy;
age restrictions; and
special requests.
Special requests communicated through Soléa are not guaranteed unless confirmed by the property.
12. CRUISES, TOURS AND EXPERIENCES
Cruises, tours, excursions and experiences may be subject to specific supplier conditions.
These may include requirements concerning:
health;
fitness;
age;
mobility;
insurance;
equipment;
weather;
cancellation;
participation; and
safety.
You are responsible for reviewing and complying with applicable requirements.
13. PREFERRED-PARTNER BENEFITS
Where a booking qualifies for preferred-partner benefits, the benefits are subject to the applicable programme and supplier terms.
Examples may include:
breakfast;
room upgrades;
property credits;
early check-in;
late check-out;
welcome amenities; or
other benefits.
Benefits may be subject to availability and are not guaranteed unless expressly confirmed.
14. TRAVEL DOCUMENTATION
Travellers are responsible for ensuring they have all required documentation.
This includes, where applicable:
passports;
visas;
electronic travel authorisations;
transit permissions;
health documentation; and
other entry requirements.
Soléa may provide general guidance, but travellers should independently verify requirements with the relevant official authority.
15. TRAVEL INSURANCE
Appropriate travel insurance is strongly recommended.
Insurance should be considered for circumstances including:
cancellation;
curtailment;
medical emergencies;
travel disruption;
baggage loss or delay; and
other relevant risks.
Soléa does not provide insurance unless expressly stated.
16. CHANGES BY SUPPLIERS
Suppliers may change or cancel elements of a booking.
Examples include:
airline schedule changes;
hotel changes;
cancellations;
changes to operating times;
changes to experiences;
transport disruption; or
other operational changes.
Where we become aware of a change affecting a booking we have assisted with, we will endeavour to communicate the relevant information and assist with supplier communication where appropriate.
Any remedies, refunds or compensation available will depend on the applicable supplier terms and law.
17. PACKAGE TRAVEL
Some combinations of travel services may constitute a package under applicable UK package travel legislation.
Where another business is the organiser of the package, that organiser is responsible for the applicable package travel obligations.
Where Soléa is legally acting as the organiser of a package, the applicable legal requirements will apply.
The relevant organiser and applicable protections will be identified in the booking documentation where required.
18. FINANCIAL PROTECTION
Financial protection depends on the type of travel arrangement and the party responsible for organising or supplying it.
Where applicable, information regarding ATOL protection or other financial protection will be included in the relevant booking documentation.
You should review your documentation carefully to understand what protection applies to your booking.
19. SUPPLIER COMPLAINTS
If you experience a problem during your trip, you should notify the relevant supplier immediately or as soon as reasonably practicable.
Giving the supplier an opportunity to resolve the issue promptly may be important to protecting your rights.
Where appropriate, Soléa may assist with communication between you and the supplier.

20. SOLÉA'S ROLE IN SUPPLIER BOOKINGS
Where Soléa acts as an adviser or agent, our responsibility is to provide reasonable care and skill in the services we provide.
We do not control the independent suppliers responsible for delivering your travel arrangements.
Accordingly, we cannot guarantee the performance, availability, quality or continued operation of a third-party supplier.
Nothing in these terms excludes any liability that cannot legally be excluded.
21. DOCUMENTS GOVERNING YOUR BOOKING
Your particular travel arrangement may be governed by several documents.
These may include:
your Soléa Client Travel Agreement;
these Travel Booking & Supplier Terms;
the relevant Fora Travel terms;
the supplier's terms and conditions;
your booking confirmation;
your invoice; and
any other contractual documentation provided for the booking.
You should review all applicable documentation before travelling.
22. CHANGES TO THESE TERMS
We may update these terms from time to time to reflect changes in our services, supplier relationships or applicable law.
The terms applicable to an existing booking will generally be those applicable when the relevant booking was confirmed, subject to any changes required by law or expressly incorporated into the booking.
23. GOVERNING LAW
These terms are governed by the laws of England and Wales, subject to any mandatory consumer rights or protections applicable to you.
Nothing in these terms is intended to remove or restrict rights that cannot legally be excluded.
